The Receptionist is the organization’s face, responsible for greeting and maintaining a seamless and positive experience across the organization. This role serves as an operations support to the connective tissue between vision, partnerships, systems, and execution.

About The Role

The Receptionist is responsible for the day-to-day reception desk coverage of an assigned facility and for ensuring that all reception functions are fully aligned with Workforce Development Command Center (WDCC) standards. This role serves as the "face" of this WDCC site, maintaining centralized strategy, standards, and procedures to support consistent, compliant, and high-quality daily execution at the facility level. This is a part time role with a 30-hour work week and is eligible for part time health benefits.

What You'll Do

Core Responsibilities

  • Greet & Direct Visitors: Welcome guests professionally, check them in, and guide them to the right person or place.
  • Manage Phone Calls: Answer, screen, and forward incoming calls, taking messages as needed. Address day-to-day operational and participant issues.
  • Schedule Appointments: Book meetings, manage calendars, and confirm appointments for staff.
  • Handle Mail & Deliveries: Sort, distribute incoming mail, and prepare outgoing packages.
  • Maintain Reception Area: Keep the lobby tidy, organized, and welcoming.
  • Order Office Supplies: Monitor inventory and order necessary supplies like paper, coffee, and stationery.
  • Provide Administrative Support: Assist other departments with tasks like copying, data entry, and filing.
  • Handle Inquiries: Answer general questions from employees and visitors.
  • Update Records: Maintain up-to-date office records, client files, and expense logs.
  • Systems Usage & Compliance Readiness: Ensure consistent and accurate use of Asana and any programs as assigned at the site.
  • Monitor workspaces and report any deficiencies to site lead as necessary.
  • Support the site for monitoring visits, internal reviews, and compliance spot checks.

Qualifications

  • Experience with customer service and operations. Adult workforce development environments experience is a plus.
  • Experience monitoring shared spaces in a structured program setting. Working knowledge of software systems (Asana, MS Office, or similar).
  • High attention to documentation, process adherence, and operational consistency

Preferred Qualifications

  • Experience in workforce development, education, human services, or training programs.
  • Familiarity with the community of Hollis, NY.
  • Experience operating within compliance-driven or audited environments Core Competencies Systems alignment and execution Process discipline and accountability Clear communication and escalation judgment Problem-solving in fast-paced, on-site environments.

The Pay Range For This Role Is

25 - 25 USD per hour(MB CWDI)
