Job Type: Full-Time

Pay Rate: Up to $27.56 per hour

Schedule:

Monday – Friday | 8:00 AM – 5:00 PM

(Flexibility required based on business needs and event flow)

Position Overview

Forrest Solutions provides onsite, outsourced workplace solutions built on proven best practices for managing non-core business functions.

The Receptionist plays a critical role in delivering a high-touch, hospitality-driven experience within a corporate office environment. This individual serves as the primary point of contact for guests and visitors while acting as the right-hand support to the Manager.


This is a cross-functional role supporting reception operations, conference services, workplace experience initiatives, reporting, administrative tasks, and facilities coordination — specifically supporting the 10th floor. The ideal candidate is polished, proactive, and open to learning and growing within the organization.


Key Responsibilities

Reception & Front Desk Leadership

  • Serve as primary point of contact for all guests and visitors
  • Provide back-up reception coverage as needed
  • Greet guests with professionalism and corporate polish
  • Issue visitor badges and coordinate with lobby security
  • Answer and direct incoming calls, including internal hotlines

Conference & Event Services

  • Manage conference room bookings, including walk-up reservations
  • Provide full meeting support: setup, breakdown, and logistics coordination
  • Escort clients to meeting rooms
  • Coordinate catering and meeting logistics
  • Monitor room usage, no-shows, and schedule adherence
  • Open and close meeting spaces to ensure operational readiness

Workplace Experience (WPX)

  • Conduct floor tours to ensure spaces are clean, organized, and well-maintained
  • Partner with Facilities to report and track maintenance issues
  • Advocate for hoteling and mobile workspace culture
  • Deliver concierge-style services (bookings, special requests, etc.)
  • Provide real-time support across office floors

Administrative & Reporting Support

  • Run daily setup worksheets
  • Prepare weekly event sheets and conference room usage reports
  • Support reporting and serve as second-in-command to the Manager
  • Perform strong data entry with high accuracy
  • Order and manage office supply inventory
  • Assist with urgent workplace requests

Leadership & Cross-Functional Support

  • Support the Manager with workload management and task coordination
  • Act as point of escalation when Manager is client-facing
  • Collaborate with IT, Facilities, Catering, and Workplace teams
  • Follow up to ensure successful service delivery


Required Qualifications

Education & Experience

  • High school diploma required; college degree preferred
  • 2+ years of corporate receptionist, hospitality, or professional office experience
  • Prior lead or supervisory experience preferred
  • Experience supporting managers or leadership teams

Technical Skills

  • Basic to Intermediate Microsoft Office
  • Strong Microsoft Excel (reporting & data entry)
  • Strong Microsoft Outlook (calendar management)
  • Internet research proficiency
  • Experience with conference scheduling systems preferred
