Job Summary
We are seeking an energetic and highly organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your proactive approach and strong organizational skills will ensure smooth office management and a positive first impression for everyone who walks through our doors. Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills
  • Maintain a tidy, organized front desk area and manage incoming/outgoing mail and packages
  • Schedule appointments, coordinate calendar management, and assist with basic office management tasks
  • Perform data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace tools
  • Support office operations by handling clerical tasks such as photocopying, faxing, and maintaining office supplies inventory
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed

Experience

  • Previous office experience or clerical experience in a fast-paced environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience handling multi-line phone systems and demonstrating excellent phone etiquette
  • Bilingual abilities are highly desirable to support diverse client needs
  • Demonstrated organizational skills with the ability to prioritize tasks effectively
  • Familiarity with medical or dental receptionist duties is a plus but not required
  • Personal assistant or administrative support experience will be considered an asset
