Receptionist

Financial:

Keep updated records of office expenses and costs.

Customer:

  • Front Desk Management: Greet visitors, answer phone calls, and respond to inquiries in a courteous and professional manner, providing excellent customer service.

  • Visitor Assistance: Guide and assist visitors, ensuring they are directed to the appropriate departments or individuals promptly.

  • Customer Issue Resolution: Handle basic customer concerns or inquiries, escalating issues to the relevant departments when necessary for quick resolution.

Internal Business Process:

  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).

  • Provide basic and accurate information in-person and via phone/email

  • Receive, sort and distribute daily mail/deliveries.

  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).

  • Order front office supplies and keep inventory of stock.

  • Update calendars and schedule meetings.

  • Arrange travel and accommodations, and prepare vouchers

  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.

People:

  • Interpersonal Communication: Maintain positive relationships with both internal staff and external visitors, creating a welcoming environment for all.

  • Team Support: Assist other administrative staff or departments with tasks when required, fostering a cooperative work environment.

Qualification, Experience & Skills:

  • Graduate in any discipline

  • 2+ years of hands on experience in administration or handling front office reception

  • Excellent English communication skills.

  • Nationality Emarti only
