Overview
We are seeking an energetic and detail-oriented Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer support to visitors and clients. Duties

  • Greet visitors warmly and direct them appropriately, ensuring a positive first impression
  • Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette
  • Handle incoming calls, screen inquiries, and transfer calls efficiently using office management software
  • Perform data entry, filing, and maintain organized records using Microsoft Office and Google Workspace tools
  • Support administrative tasks such as calendar management, appointment scheduling, and proofreading documents
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
  • Provide customer support by addressing inquiries promptly and courteously, ensuring high levels of satisfaction
  • Maintain the front desk area in a clean, organized manner, fostering a welcoming environment
  • Support clerical functions including copying, scanning, and managing office supplies

Qualifications

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Prior experience with multi-line phone systems and phone etiquette is highly desirable
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Strong organizational skills with keen attention to detail for proofreading and data entry tasks
  • Demonstrated ability to manage time effectively in a fast-paced environment
  • Previous experience as a receptionist in medical or dental offices is advantageous but not required
  • Personal assistant or medical receptionist experience can be beneficial for understanding specialized workflows
