SUMWON STUDIOS is a leading fashion and lifestyle brand, known for its innovative approach to contemporary design and retail. We are expanding our team and seeking a professional and proactive Receptionist to ensure our office runs smoothly and our visitors receive a first-class experience.
The Role
The Receptionist will be the first point of contact for visitors and will play a key role in maintaining the smooth operation of the office. The ideal candidate will be proactive, highly organised, and ideally have prior experience in the fashion industry.
Key Responsibilities
- Welcome visitors, clients, and vendors, delivering a professional front-of-house experience, including preparing beverages (e.g. coffee).
- Handle incoming calls, emails, and general enquiries, redirecting them as appropriate.
- Manage the application and approval process for guest and staff access passes.
- Manage all incoming and outgoing office deliveries, ensuring accurate logging and timely distribution.
- Oversee transportation arrangements to and from the office, including administration of the company's Careem account.
- Support the Office Manager with daily office operations, including booking meeting rooms, managing calendars, and coordinating office events.
- Ensure office and hospitality supplies (including barista items) are fully stocked and reordered when required.
- Manage and coordinate daily staff meal and food delivery arrangements.
- Coordinate employee travel visa applications (including China).
- Supervise and coordinate cleaning staff to ensure office cleanliness and hygiene standards are consistently maintained.
- Maintain a clean, organised, and presentable reception and office environment at all times.
- Assist with general administrative tasks, including filing, scanning, and data entry.
- Ensure compliance with office policies, procedures, and health and safety standards.
- Liaise with building management and external service providers as required.
What you'll bring
- High school diploma or equivalent; additional qualifications in administration or office management are a plus.
- Professional and friendly demeanour with excellent communication skills.
- Highly organised, proactive, and able to manage multiple tasks simultaneously.
- Attention to detail and ability to maintain confidentiality.
- Previous experience in a receptionist or administrative role is preferred; fashion industry experience is a plus.
- Basic proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
