Position Purpose:

To provide front desk support and administrative assistance for Joseph’s Project. The Receptionist will serve as the first point of contact for visitors and clients, ensuring a welcoming environment and efficient communication within the organization.

Duties and Responsibilities:

  • Greet visitors and clients professionally and warmly, directing them to appropriate personnel or resources.
  • Answer and manage incoming calls, emails, and inquiries in a timely and courteous manner.
  • Maintain the front desk area in an organized and professional manner.
  • Assist with scheduling appointments, meetings, and conference room bookings.
  • Manage incoming and outgoing mail, deliveries, and correspondence.
  • Provide administrative support, including data entry, billings, filing, and document preparation for programs.
  • Assist with maintaining office and program supplies and replenishment as needed.
  • Maintain confidentiality and adhere to agency policies regarding client and organizational information.
  • Assist with special projects and events as needed.
  • Monitor visitor logs and ensure security protocols are followed.
  • Attend mandatory agency meetings and training sessions.
  • Other duties delegated by his/her supervisor.

Qualifications:

  • High School Diploma or equivalent required.
  • Previous experience in a receptionist or administrative role preferred.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to interact professionally with diverse populations.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
  • Strong organizational and multitasking abilities.
  • Ability to maintain a friendly and professional demeanor under pressure.
  • Discretion and ability to handle confidential information appropriately.
  • Ability to work independently and collaboratively within a team.
  • Must be punctual, reliable, and detail-oriented.
  • Ability to travel for program training and between multiple programmatic locations.
  • Must be available to work some evenings and weekends for activities, outings, field trips and/or agency events.
  • Will need to obtain the Community Health Care Worker Training and maintain active status.
  • Will Need to obtain Mental Health Coaching Certification with Crisis Response and Trauma.

Computer Skills:

  • Proficiency in MS Office Products, such as Excel, Word, Outlook, and PowerPoint; strong focus on eKyros and BriteWorks, Publisher and Canva.

Education:

Required: High School diploma or equivalency.

Preferred: Some college

Job Type: Full-time
