Receptionist

A receptionist acts as the company's first point of contact, providing administrative support and excellent customer service. Key responsibilities include greeting visitors, managing multi-line phone systems, scheduling appointments, handling mail, and maintaining a tidy, secure, and professional front-desk area.   • Visitor Management: Welcomes guests, determines nature of visit, and directs them to the appropriate person or office.
  • Front Desk Security: Maintains security by following procedures, monitoring logbooks, and issuing visitor badges.
  • Communication Hub: Answers, screens, and forwards incoming phone calls, as well as managing general emails.
  • Administrative Support: Schedules meetings, updates calendars, processes mail, files documents, and performs data entry.
  • Office Maintenance: Keeps the reception area tidy, orders supplies, and maintains office equipment.

Required Skills and Qualifications

  • Experience: Previous experience as a receptionist, front office representative, or similar role.
  • Communication: Professional verbal and written communication skills.
  • Technology: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with office equipment (printers, fax machines).
  • Soft Skills: Strong time-management, multitasking, and customer service skills.
