We are seeking a dynamic and organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your proactive approach and strong organizational skills will ensure smooth office management and a positive first impression. Duties

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
  • Handle front desk responsibilities including scheduling appointments, managing calendars, and coordinating meetings
  • Perform data entry, filing, and document proofreading to maintain accurate records and organized files
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks
  • Support office operations by managing incoming correspondence, maintaining supplies, and overseeing general clerical duties
  • Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times

Experience

  • Proven experience in office administration or clerical roles with a strong background in customer service
  • Familiarity with front desk procedures, multi-line phone systems, and office management tools
  • Bilingual skills are highly desirable to effectively communicate with diverse clients and team members
  • Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software
  • Experience with medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is beneficial
  • Strong organizational skills with the ability to multitask efficiently in fast-paced environments
  • Knowledge of bookkeeping or basic financial recordkeeping using QuickBooks is advantageous
