Responsibilities

  • Greet visitors warmly and professionally, directing them appropriately and maintaining a positive first impression
  • Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette
  • Handle front desk duties including scheduling appointments, managing calendars, and coordinating drop-offs/pickups.
  • Perform data entry tasks with accuracy using Microsoft Office applications, Google Workspace tools, and other office management software
  • Maintain organized filing systems, process incoming and outgoing correspondence, and ensure documents are scanned correctly.
  • Support office management activities such as inventory tracking, and supply ordering.
  • Provide customer support by addressing inquiries via phone or email and assisting with administrative tasks as needed

Requirements

  • Proven experience in office administration or clerical roles with a strong background in customer service and front desk operations
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Strong organizational skills with the ability to multitask efficiently in a busy environment
  • Bilingual abilities are highly desirable to support diverse client needs
  • Knowledge of multi-line phone systems, calendar management, and phone etiquette is essential
  • Prior experience in medical or dental receptionist roles is a plus but not required
  • Demonstrated time management skills with the ability to prioritize tasks effectively
  • Attention to detail for proofreading documents and maintaining accurate records
