This is a 6 month Fixed Term Contract to cover maternity leave

DWF's offering in the Middle East is centred around Financial Services and Energy sectors. The team in Dubai are able to assist clients in all aspects of legal work in these sectors.

Ideally you'll be able to start immediately or within a short period of time

Responsibilities:

• Greet and assist visitors, clients, and staff in a professional manner.
• Ensure guests have refreshments, or wi-fi details while waiting.
• Answer, screen, and forward telephone calls; take messages when required.
• Schedule and coordinate appointments, meetings, and conference room bookings.
• Assist in setting up meeting rooms (arranging refreshments, ensuring equipment is ready)
• Handle incoming and outgoing mail, couriers, and packages.
• Monitor and order office supplies as needed.
• Monitor and order office stationery as needed.
• Provide clerical support including photocopying, printing, scanning, and filing.
• Ensure reception area is clean, organized, and welcoming.
• Ensure meeting rooms are clean, organized, and welcoming.
• Act as the first point of contact in case of emergencies, following procedures.
• Onboarding formalities for new joiners: Collating of documents, booking flights and accommodation
• Registering new Lawyers with the Dubai Legal Affairs Department
• Assist in Visa issuance and renewal

Essential

• Previous experience in a Receptionist role.
• Excellent Customer Service skills
• Highly organised and be able to work within a fast paced environment.
• Positive attitude and enthusiasm
• Takes a structured approach, prioritises, manages own time, works to high quality standards.
• Excellent communication skills and professional presentation skills are essential for this role.
• Good working knowledge of MS Office
• Fluent English speaking and writing skills

Desirable

• Previous admin experience
• Arabic language skills
• Professional Services experience
