Receptionist and Scheduler

We are looking for an energetic, detail oriented, dependable individual who can work well in a team.

Job Summary

The Receptionist / Scheduler serves as the first point of contact for customers, visitors, and employees. This role is responsible for managing front desk operations, answering phone calls, scheduling appointments or services, and providing administrative support to ensure smooth daily operations. The ideal candidate is organized, professional, and able to manage multiple tasks in a fast-paced environment.

Key Responsibilities

  • Greet and assist visitors, clients, and vendors in a professional and friendly manner.
  • Answer and direct incoming phone calls and respond to inquiries.
  • Schedule appointments, service calls, or production orders using scheduling software or calendars.
  • Coordinate schedules for staff, technicians, or production teams.
  • Confirm appointments and communicate schedule changes when necessary.
  • Maintain accurate customer records and scheduling information.
  • Receive, sort, and distribute mail and deliveries.
  • Perform general administrative tasks such as filing, data entry, and document preparation.
  • Assist with order intake, customer requests, and basic customer service issues.
  • Maintain a clean and organized reception area.
  • Support other departments with administrative tasks as needed.

Required Qualifications

  • High school diploma or equivalent.
  • Previous experience in reception, scheduling, or administrative roles preferred.
  • Strong communication and customer service skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) or similar software.
  • Excellent organizational and multitasking abilities.
  • Professional appearance and demeanor.

Preferred Skills

  • Experience with scheduling or CRM software.
  • Ability to handle high call volumes.
  • Strong problem-solving and time management skills.
  • Attention to detail and accuracy.

Work Environment

  • Office or front desk environment.
  • Frequent interaction with customers, visitors, and staff.
  • May require extended periods of sitting, typing, and phone communication.

Physical Requirements

  • Ability to sit for extended periods.
  • Ability to operate a computer, phone system, and office equipment.

Hours will be 9-5 M-F one to two Saturday's a month between 10-2pm
