Reception & Communication

  • Greet and assist visitors, clients, and suppliers in a professional manner.

  • Answer and direct incoming phone calls, take messages, and respond to general inquiries.

  • Handle incoming and outgoing correspondence (emails, letters, couriers).

Visitor & Access Management

  • Maintain visitor logbook and issue visitor passes.

  • Coordinate with security for entry of clients, vendors, and delivery personnel.

Administrative Support

  • Manage front desk operations and ensure a tidy reception area.

  • Assist with scheduling appointments, meetings, and conference calls.

  • Support HR and Admin teams with filing, document control, and staff records.

Document & Record Handling

  • Receive and distribute incoming documents (delivery notes, invoices, material submittals).

  • Maintain filing systems for office correspondence and company records.

Coordination

  • Communicate with project, production, and commercial departments when visitors or deliveries arrive.

  • Assist in preparing reports, data entry, and ERP/office system updates as required.

Office Management

  • Monitor office supplies (stationery, pantry, consumables) and coordinate replenishment.

Customer & Employee Support

  • Provide basic information about company services and direct inquiries to the concerned department.

  • Assist employees with administrative requests related to forms, letters, and internal communications.
