Overview:
We are currently seeking a highly organized, proactive, and versatile individual to join our team as a Receptionist / Executive Secretary. This dual-role position combines front desk management with a wide range of administrative responsibilities. The ideal candidate will be confident, detail-oriented, and capable of handling multiple tasks in a fast-paced environment.

Key Responsibilities:

  • Greet visitors and clients in a professional and courteous manner, directing them to the appropriate personnel or department.
  • Handle and route incoming calls, take accurate messages, and ensure timely follow-up.
  • Manage incoming and outgoing mail, packages, and courier deliveries.
  • Coordinate meetings, appointments, and travel arrangements for executives and team members.
  • Maintain and update physical and electronic filing systems for efficient document retrieval.
  • Oversee company documents and official records.
  • Process and manage company bill payments, including DEWA, Etisalat, DU, internet, phone, and other facility-related services.
  • Ensure smooth day-to-day office operations, including stationery, pantry, and housekeeping management.
  • Act as the central point of coordination for office administration and support services.

Qualifications & Skills:

  • 2–4 years of experience in a receptionist, executive assistant, or administrative role, preferably within shipping/logistics or corporate services.
  • Familiarity with billing and utility platforms (DEWA, Etisalat, DU, etc.).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong verbal and written communication skills.
  • Excellent organizational and time-management abilities.
  • Ability to multitask, prioritize, and work efficiently under pressure.
  • Positive attitude, proactive mindset, and ability to work independently with minimal supervision.
