Job Summary
We are seeking an energetic and detail-oriented Receptionist / Office Assistant to join our dynamic team. In this vital role, you will be the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will manage front desk operations, handle administrative tasks, and support office management activities to keep our daily operations running smoothly. Your positive attitude, excellent organizational skills, and ability to multitask will contribute significantly to our team’s success.
Responsibilities
Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
Answer multi-line phone systems promptly, directing calls efficiently and professionally using proper phone etiquette
Manage front desk duties including scheduling appointments, handling mail, and maintaining visitor logs
Perform data entry, filing, and document proofreading to ensure accuracy and organization of office records
Support office management tasks such as calendar management, meeting coordination, and supply inventory oversight
Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for various administrative functions
Assist with bookkeeping activities using QuickBooks or similar accounting software when needed
Provide general clerical support including photocopying, faxing, and maintaining organized filing systems
Requirements
Proven office experience with strong clerical skills and familiarity with office management procedures
Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
Experience handling multi-line phone systems with professional phone etiquette
Bilingual abilities are highly desirable to serve diverse client needs effectively
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Exceptional customer service skills with a friendly demeanor and clear communication abilities
Ability to manage time effectively, demonstrating strong multitasking capabilities and attention to detail
