Duties
- Greet visitors and clients warmly, ensuring a positive first impression of our organization
- Manage multi-line phone systems efficiently, directing calls and taking messages accurately
- Maintain a clean, organized front desk area and reception space
- Handle incoming and outgoing correspondence, including emails, mail, and packages
- Support office management tasks such as filing, data entry, and document proofreading
- Assist with calendar management and scheduling appointments for customers
- Use computer skills to update records in Microsoft Office, Google Workspace, and QuickBooks as needed
- Provide exceptional customer service by responding promptly to inquiries and supporting client needs
- Support clerical tasks such as photocopying, faxing, and maintaining office supplies
Requirements
- Proven experience in office support roles or administrative assistance with strong clerical skills
- Proficiency in Quickbooks desktop, Google Workspace tools
- Familiarity with multi-line phone systems and professional phone etiquette
- Bilingual abilities are highly desirable to assist diverse clients and team members
- Experience with bookkeeping is a plus for handling basic financial tasks
- Excellent organizational skills with keen attention to detail and accuracy
- Strong time management skills to prioritize tasks effectively in a busy environment
- Previous experience as a receptionist or in customer support roles preferred
- Ability to handle confidential information discreetly and professionally
