Responsibilities
- Greet visitors warmly, direct them appropriately, and manage procedures with excellent customer service.
- Operate multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette.
- Complete activities including scheduling appointments, handling mail and maintaining daily logs.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization across all office records.
- Support office management tasks such as calendar management, supply ordering, and coordinating meetings.
- Use computer skills in Microsoft Office and other software to prepare reports, correspondence, and presentations.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed.
Requirements
- Proven office experience or clerical experience demonstrating strong organizational skills and attention to detail.
- Excellent communication skills in English; bilingual abilities are a plus for serving diverse clients and staff.
- Proficiency in computer literacy including Microsoft Office suite (Word, Excel, Outlook) and data entry tools.
- Strong phone etiquette skills with experience managing multi-line phone systems effectively.
- Ability to handle multiple tasks simultaneously while maintaining professionalism and a positive attitude.
- Experience in customer service or customer support roles specifically in the construction industry is highly desirable.
