Part-Time Receptionist
Summary: The Part-Time Receptionist is the first point of contact for clients, visitors, and partners. This role manages the front desk, greets and checks in clients, answers and routes phone calls, schedules appointments as directed, supports clinicians with client paperwork uploads, and provides general office and administrative support. Success in this role means creating a welcoming, professional, and confidential environment while helping the office run smoothly. The role plays a key part in ensuring a professional, welcoming environment and in advancing the mission of Dr. Stanley and Pearl Goodman JFS of Broward County (GJFS).
Key Responsibilities
Front Desk & Client Services
- Monitor iPad and manage visitor entry
- Warmly greet and check in clients; verify demographics, insurance, and appointment details as directed.
- Greet and appropriately direct all incoming visitors.
- Ensure waiting area is calm, clean, and stocked (e.g., forms, pens, tissues, water).
- Provide directions, answer general inquiries, and support accessibility/accommodation.
- Uphold a trauma-informed, culturally sensitive, and inclusive experience for all clients.
Phone, Messaging, & Scheduling Support
- Answer, screen, and route incoming calls and messages; take accurate, timely messages for clinicians and staff.
- Screen for immediate crisis and follow crisis phone call protocol
- Provide basic program information and internal and external referral pathways per script or guidelines.
- Schedule, reschedule, and confirm appointments in the EHR/scheduling system as directed.
- Monitor voicemail and email inboxes (e.g., “info@” or front desk) and respond within expected timeframes.
Administrative Support for Clinicians & Director
- Assist staff and clinicians with paperwork and EHR portal management (e.g., intake forms, consents, ROI, satisfaction surveys, screening tools) & basic billing needs (ie. PCP referrals).
- Scan/upload documents to the EHR; label and index files accurately per naming conventions.
- Prepare new client packets; print, collate, and maintain form inventories.
- Support simple data entry, form edits, meeting notes, logs, and tracking sheets (referred out, basic metrics, satisfaction surveys, chart audit tracking, basic flow charts, etc.).
- Complete other tasks as assigned (e.g., faxing, copying, light mail handling).
Office Coordination
- Maintain office supplies and assist with supply orders.
- Help set up rooms for sessions, groups, and meetings; manage simple room calendars.
- Coordinate vendor visits (e.g., copier, IT, AC, Amazon) with Operations when needed.
- Flag facilities or safety issues promptly to Operations.
Compliance, Confidentiality & Safety
- Protect client privacy and comply with HIPAA and organizational policies at all times.
- Follow check‑in, identity verification, and documentation protocols precisely.
- Adhere to incident reporting procedures and support de‑escalation steps per training.
- Complete required trainings (e.g., HIPAA, confidentiality, safety, cultural humility).
Qualifications:
- High school diploma or equivalent required
- Prior receptionist, front desk, or customer service experience preferred
- Strong communication and interpersonal skills
- Ability to multitask and remain calm under pressure
- Proficiency in Microsoft Office and basic data entry
- Proficiency in Adobe Pro
- High attention to detail, confidentiality, and follow‑through; reliable and punctual.
- Ability to handle sensitive situations with empathy, discretion, and professionalism.
Preferred
- Experience in behavioral health, social services, medical/dental, or community‑based organizations.
- Familiarity with EHRs
- Bilingual or multilingual (e.g., Spanish/Creole/Portuguese/Hebrew) strongly preferred based on client needs.
- Basic knowledge of trauma‑informed and culturally responsive practices.
Work Environment:
- On‑site front desk role in an office/clinic environment.
- Frequent sitting; occasional standing, walking, reaching, and light lifting (up to ~20 lbs).
- Regular computer, phone, printer/scanner, and copier use.
- Ability to maintain focus in a reception area with periodic interruptions.
- Work 2 Evenings until 8pm
