Transnation Title Agency looking for a friendly, organized, and detail-oriented Receptionist with Order Entry Duties to join our Houghton Lake team. This position plays an important role in creating a welcoming front office experience while also supporting the accurate entry and processing of incoming title orders. This is a great opportunity for someone who enjoys customer service, administrative support, and working in a fast-paced office environment.
In this role, you will be the first point of contact for visitors and callers while also helping ensure title orders are entered accurately, documentation is collected, and files are routed properly for review and examination.
What You Will Do
Order Entry Duties

Receive incoming title insurance orders, review property information for accuracy, enter the order into the title and escrow production system, and retrieve and save starter documents to the appropriate file in a timely and accurate manner.

Communicate with customers to gather missing information needed for complete order processing.

Access tax websites and state tax systems to obtain current tax and legal property information.

Save supporting documentation to the appropriate file.

Track files to ensure proper review and assignment to the title department for search and examination.

Track and record county documents as needed.

Maintain accurate and organized file records throughout the order entry process.
Receptionist Duties

Greet and welcome visitors in a warm, professional manner.

Answer incoming calls and direct them to the appropriate team members.

Manage front desk activities and help maintain a positive office environment.

Receive, sort, and distribute incoming and outgoing mail, faxes, and emails.

Monitor office supply levels and place orders as directed by management.

Track birthdays for agents and realtors.

Keep the front desk and reception area clean, organized, and professional.

Communicate with staff regarding client leads, concerns, and office needs.

Assist with general administrative support as needed.

Maintain regular and reliable attendance.
Education and Experience

High school diploma or equivalent required.

Associate degree or coursework in business, office administration, or a related field preferred.

Previous experience in a receptionist, administrative, customer service, or order entry role preferred.
Computer Skills

Proficiency with Microsoft Office (Outlook, Word, Excel) and comfort working in multiple systems daily.

Ability to accurately enter, review, and retrieve information in company systems, including document management platforms.

Ability to learn new software quickly and troubleshoot basic issues (password resets, printing, scanning, PDF tools).
