Receptionist/Administrative Assistant

Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. You will be the first point of contact for visitors and clients, managing multi-line phone systems, scheduling appointments, and maintaining efficient office workflows. Duties

  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle front desk operations, managing software, and maintaining excel logs
  • Perform data entry and maintain organized filing systems both physically and electronically
  • Assist with calendar management and scheduling appointments for staff members
  • Support office management tasks such as ordering supplies, organizing files, and coordinating mail distribution
  • Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare documents, emails, and reports
  • Conduct proofreading of correspondence and documents to ensure accuracy and professionalism
  • Support bookkeeping activities using QuickBooks or similar accounting software when needed
  • Provide clerical support including photocopying, faxing, scanning, and maintaining office equipment

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Prior experience with multi-line phone systems and phone etiquette is essential
  • Bilingual abilities are highly desirable to serve diverse clientele effectively
  • Strong customer service skills with a friendly demeanor and professional communication style
  • Ability to manage time efficiently in a fast-paced environment while multitasking seamlessly
  • Experience in clerical tasks such as filing, data entry, proofreading, and calendar management
  • Knowledge of QuickBooks or bookkeeping experience is a plus but not mandatory
  • Previous roles as a receptionist or administrative assistant in medical or dental offices are advantageous
  • Personal assistant experience or office management background is beneficial
