Receptionist/Administrative Assistant

<Duties>

  • Greet visitors and clients warmly, creating a professional and friendly first impression at the front desk
  • Manage multi-line phone systems with excellent phone etiquette, directing calls accurately and promptly
  • Handle incoming and outgoing correspondence, including emails, mail, and courier services
  • Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents
  • Perform data entry tasks using Microsoft Office and Google Workspace to update records, schedules, and reports
  • Assist with appointment scheduling, calendar management, and coordinating meetings or events
  • Support bookkeeping activities using CRM for invoicing, billing, and expense tracking
  • Provide clerical support such as proofreading documents, managing office supplies inventory, and performing general administrative duties

<Experience>

  • Proven office management or administrative experience in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi-line phone systems and excellent phone etiquette
  • Bilingual abilities are highly valued to assist diverse client needs effectively
  • Familiarity with bookkeeping software is preferred for handling financial tasks
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Previous experience in customer service or as a receptionist—preferably in construction offices—is advantageous
  • Strong attention to detail for proofreading documents and maintaining accurate records
