Receptionist/Administrative Assistant

Link Care is a faith-based clinical organization committed to providing compassionate care and support to our clients. We are seeking a professional, organized, and welcoming individual to join our team as a Receptionist/Administrative Assistant.

Job Summary

Under the supervision of the Administrative Director, this role provides administrative support to Link Care staff including the CEO, clinical team, and facilities management. The ideal candidate will be efficient, detail-oriented, and comfortable working in a clinical setting.

Part-Time: 25-29 hours/week

Essential Duties and Responsibilities

  • Serve as the first point of contact for all clients, guests, and callers.
  • Answer and direct incoming phone calls to staff; take messages and send emails as necessary.
  • Process walk-in and new patient inquiries, route referrals to the Intake Coordinator for follow-up.
  • Provide new client paperwork on first visits and assist with completion as needed.
  • Maintain office supply inventory; order and distribute supplies for all staff
  • Handle all incoming and outgoing mail, including patient billing statements and insurance claims.
  • Communicate effectively with staff regarding patient information, scheduling, and updates.
  • Contact insurance companies for verification of coverage, payment status, etc.
  • Data entry into the patient portal maintaining patient records, collecting payments, and billing
  • Support clinical staff with test scoring, new patient folders and creating RPG estimates as needed.
  • Provide administrative support to property management and RPG tenants onsite.

Knowledge, Skills, and Abilities

  • Strong data entry and recordkeeping accuracy across multiple software platforms.
  • Knowledge of Tebra (preferred) or similar medical databases required.
  • Proficiency in Microsoft Office Suite, including Excel and Outlook.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service skills, demonstrate professionalism and compassion.
  • Ability to perform clerical and secretarial duties with accuracy, and attention to detail.
  • Effective multitasking and prioritization skills.
  • Knowledge of modern office procedures and administrative practices.
  • Demonstrated commitment to Link Care’s faith-based mission and values.
  • Maintain and update Monthly Billing Spreadsheet to collaborate with the Administrative Director on outstanding balances and status.

Education and Experience Requirements

  • High school diploma or GED required; some college coursework preferred.
  • Minimum of two (2) years’ experience in a medical office or clinical setting.
  • Willingness to learn, adapt, and contribute as part of a team environment.

Job Type: Part-time

Pay: $22.00 - $24.00 per hour
