Receptionist/Administrative Assistant

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team. Responsibilities

  • Greet visitors and clients warmly, providing professional front desk reception and assistance
  • Manage multi-line phone systems, directing calls efficiently and courteously
  • Handle incoming correspondence, emails, and inquiries with promptness and professionalism
  • Maintain organized filing systems, data entry, and document proofreading to ensure accuracy
  • Support office management tasks such as calendar scheduling, appointment setting, and calendar management
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Perform clerical duties including copying, scanning, faxing, and maintaining office supplies
  • Provide customer support by addressing inquiries and resolving issues effectively
  • Manage Google Workspace tools (Docs, Sheets, Calendar) for daily operations

Experience

  • Proven office experience or administrative support background in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Experience with multi-line phone systems and phone etiquette best practices
  • Bilingual skills are highly desirable to serve diverse clients and visitors effectively
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently
  • Previous experience in customer service or customer support roles preferred
  • Clerical experience including data entry, filing, proofreading, and document management is advantageous
  • Knowledge of office management procedures such as calendar management and personal assistant tasks is a plus
  • Familiarity with medical or dental receptionist duties is beneficial but not required
