Receptionist/Administrative Assistant

Join our dynamic team as a Receptionist/Administrative Assistant and become the welcoming face and organizational backbone of our FAITH-BASED, NON-PROFIT office!

You will be the first point of contact for visitors and callers, ensuring a positive experience while managing administrative duties with efficiency and professionalism. Position is part-time, average of 20-25 hours per week (4 days), (8:45am - 3:15 and 2:45pm-8:15pm) 1-2 evenings per week, required.

<Responsibilities>

  • Greet visitors warmly, direct them appropriately, and ensure a professional front desk presence at all times
  • Manage multi-line phone systems, answer inquiries promptly, and route calls accurately using proper phone etiquette
  • Maintain organized filing systems, perform data entry, and handle document proofreading to ensure accuracy and confidentiality
  • Schedule appointments, manage calendars, and coordinate meetings using tools like Simple Practice and Microsoft Office
  • Support office management tasks including supply inventory, basic bookkeeping with QuickBooks, and general clerical duties such as copying, scanning, and filing
  • Assist with customer support by addressing inquiries via phone or email and providing excellent service to clients and staff
  • Handle incoming and outgoing correspondence, maintain records diligently, and ensure timely follow-up on administrative tasks

<Requirements>

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Word, Excel and Simple Practice Program.
  • Strong communication skills with professional phone etiquette.
  • Previous clerical or administrative experience in a fast-paced environment preferred
  • Demonstrated ability to proofread documents carefully and support bookkeeping or basic financial tasks
