Receptionist/Administrative Assistant

Job Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will be the welcoming face of our organization, managing front desk operations with enthusiasm and professionalism. Your expertise in office management, customer service, and administrative support will ensure smooth daily operations, creating a positive experience for clients, visitors, and team members alike. Duties

  • Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
  • Manage multi-line phone systems with professionalism, directing calls efficiently and courteously
  • Handle front desk responsibilities including scheduling appointments, taking applications, and talking to potential clients for services
  • Consistantly handling personel charts and responsible for updating charts filing, and document proofreading to ensure accuracy and organization of records
  • Assist with payroll, medicaid billing and Long Term Care billing
  • Maintain office supplies inventory and organize filing systems for easy access to documents
  • Provide clerical support including to assist with supervisors and administrator as needed
  • Demonstrate excellent phone etiquette while supporting customer inquiries and providing prompt assistance
  • Teaching new staff policies and procedures including the company's orientation process

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with multi-line phone systems and front desk operations
  • Experience with HR payroll software is a plus
  • Strong computer literacy with the ability to manage data entry and digital filing systems efficiently
  • Excellent customer service skills coupled with professional phone etiquette
  • Ability to multitask and organize effectively while maintaining attention to detail in a fast-paced environment
  • Personal assistant or office management experience will be considered an asset
  • Willing to work as a team member
