Receptionist/Administrative Assistant

Job Overview

Well established, family practice in a modern, new dental office in Wellington is seeking a self-motivated, hardworking, and organized Receptionist/Administrative Assistant to join our team. You will be the first point of contact for patients, ensuring a warm and professional experience. Previous experience in a dental office is required.

Must have excellent work ethic, be dependable, patient focused and able to prioritize while being a multi-tasking team player with a positive attitude during busy hours.

Responsibilities

  • Greet visitors warmly and direct them appropriately, maintaining excellent front desk etiquette
  • Answer multi-line phone systems promptly and professionally, transferring calls or taking messages as needed
  • Manage appointment scheduling
  • Perform data entry and filing
  • Support office management tasks such as supply inventory, mail distribution
  • Provide exceptional customer support by addressing inquiries efficiently and courteously
  • Maintain organized files and records, ensuring confidentiality and easy retrieval of information
  • Assist with clerical duties including typing, proofreading, and managing office correspondence

Skills

  • Proven experience in office management or administrative support roles with strong organizational skills
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar)
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Strong clerical skills including data entry, filing, proofreading, and document management
  • Exceptional time management skills to prioritize tasks efficiently in a busy environment
  • Customer service orientation with the ability to handle inquiries professionally via phone or in person
  • Personal assistant or medical/dental receptionist experience is required for understanding specialized workflows
  • Knowledge of office procedures such as calendar management, appointment scheduling, and record keeping

Pay: $19.00 - $23.00 per hour
