Receptionist/Administrative Assistant

Job Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service.

As the first point of contact for visitors, callers, and clients, you play a key role in shaping the overall experience of our workplace. The ideal candidate will be energetic, detail‑oriented, and an excellent communicator who can handle inquiries with confidence and care.

You will manage front desk operations, support various administrative functions, and help keep our office running seamlessly. This paid position offers an exciting opportunity to strengthen your office management skills while contributing to a supportive, service‑focused work environment.

Responsibilities

  • Greet visitors warmly, manage check-in procedures, and direct them appropriately
  • Answer multi-line phone systems promptly with professional phone etiquette
  • Handle incoming calls, route messages accurately, and support customer inquiries with a friendly attitude
  • Maintain organized filing systems, perform data entry, and ensure all records are up-to-date
  • Manage calendar appointments, schedule meetings, and coordinate conference room bookings
  • Support office management duties such as ordering supplies, organizing documents, and proofreading correspondence
  • Utilize Microsoft Office tools for document creation, editing, and communication
  • Provide clerical support including photocopying, faxing, mailing, and filing documents efficiently

Experience

  • Previous office experience or administrative support roles preferred
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with multi-line phone systems and excellent phone etiquette skills
  • Experience with data entry, filing systems, and proofreading documents accurately
  • Personal assistant or office management experience is beneficial but not required
