Receptionist/Administrative Assistant

ABOUT US:

We are Washington Arbitration & Mediation Service (“WAMS”), one of the largest dispute resolution providers in the Pacific Northwest. ABOUT THE POSITION:

We are seeking a friendly, reliable, and highly organized Administrative Assistant for our downtown Seattle office. This role serves as the first point of contact for clients and panel members and plays an important part in ensuring the smooth day-to-day operation of the office. Duties include welcoming clients and guests in a professional and courteous manner, assisting with front desk and reception responsibilities, preparing meeting and hearing rooms for arbitration and mediation sessions, answering phones, responding to emails, and routing inquiries and related materials appropriately, maintaining office organization, supplies, and scheduling coordination, assisting with document preparation and supporting the WAMS team with general clerical and operational needs. This position requires a "people person" with great customer service skills, prior office experience and a record of work independence and accountability. Salary depends on education and experience.

Responsibilities and duties:

  • Greet/interact with clients, panel members and visitors
  • Answer multi-line phone system and direct calls, as appropriate
  • Maintain online daily hearings calendar
  • Process mail and materials received daily
  • Respond to email inquiries on behalf of the organization
  • Respond to client or panel questions or communications
  • Work in custom file database, MS Outlook and Word program

Qualifications and skills:

  • AA degree preferred
  • Prior clerical experience preferred
  • Excellent organizational skills
  • Knowledge of Microsoft Word, Outlook and Adobe Acrobat Reader
  • Excellent interpersonal and communications skills
  • Ability to interact with lawyers, paralegals and business representatives in a professional and personable manner
  • Ability to prioritize multiple tasks and work independently with minimal supervision
  • Ability to strategize and make practical decisions quickly and efficiently
  • Ability to use discretion and professionalism when responding to inquiries and protecting confidential information and issues
  • Ability to accurately determine when consultation with supervisors is warranted

Job Type: Full-time

Pay: $22.00 - $27.00 per hour
