Overview
Seeking a full-time Receptionist/Administrative Assistant for a wealth advisory firm.
We rely on a small team of talented individuals to deliver the best possible service to our wonderful customers. Great communication skills and a desire to be part of a fast-paced work environment are required.
Duties
· Welcome clients, guests, and vendors in a friendly and professional manner, ensuring a positive first impression of the organization
· Call existing clients to schedule appointments, answer incoming calls, screen and direct them to the appropriate person or department, and take messages accurately
· Organize and manage appointments, meetings, and calendars for staff and clients
· Maintain the reception area, monitor office supplies, and ensure cleanliness and organization
· Perform clerical tasks such as filing, data entry, document preparation, and managing correspondence
· Organize and maintain filing systems, records, and databases
· Assist with project management tasks, track deadlines and deliverables
· Support HR or other departments with administrative operations as needed
Required Skills:
· Strong organizational, time management, and multitasking abilities
· Excellent oral and written communication skills
· Ability to work independently, prioritize tasks, and maintain confidentiality
· Friendly, approachable, and professional demeanor and interpersonal skills to interact with staff, clients, and visitors
· Competence in office software, phone systems, and digital scheduling tools
· Ability to pivot quickly in a fast-paced environment
Experience:
· High school diploma or equivalent; additional certifications or associate degree preferred
· Previous professional office experience preferred.
Salary:
· $36,000/year
Full Time:
· 8:30am-4:30pm M-Th
· 8:30am-3:00pm Fr
· 11:30-12:30 lunch
Location:
· In office (Laplace)
· No remote option available
