Receptionist/Administrative Assistant

Responsibilities

  • Greet visitors and clients warmly, providing exceptional customer service and directing them appropriately
  • Manage multi-line phone systems, screen calls, and handle inquiries with professionalism and courtesy
  • Maintain a clean, organized front desk area and manage incoming and outgoing mail and packages
  • Perform data entry, filing, and document proofreading to ensure accuracy and confidentiality
  • Utilize office software such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks
  • Schedule appointments, manage calendars, and coordinate meetings efficiently using calendar management tools
  • Support office management tasks including supply inventory, record keeping, and basic bookkeeping duties

Requirements

  • Proven experience in office administration, clerical work, or as a receptionist in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Exceptional phone etiquette with experience handling multi-line phone systems and customer support
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Previous experience in medical or dental reception is a plus but not required
  • Personal assistant or medical receptionist experience is advantageous for understanding specialized workflows
  • Ability to type quickly with high accuracy and perform proofreading tasks accurately
  • Knowledge of office management procedures including filing systems, calendar management, and basic bookkeeping practices
  • Strong time management skills with the ability to multitask efficiently in a busy environment
