Receptionist/Administrative Assistant

J.J. Duffy Funeral Home is a family-owned funeral home serving Northern Rhode Island families with compassion, professionalism, and personalized care. We are currently seeking a warm, organized, detail-oriented Administrative Assistant / Receptionist to join our team.

This is not simply a receptionist position. This role is an important part of helping families through some of the most difficult moments of their lives. The right candidate will be compassionate, calm under pressure, highly organized, technologically capable, and committed to providing exceptional service and support.

We are looking for someone who takes pride in their work, enjoys helping people, communicates well, and thrives in a structured, fast-paced environment where attention to detail truly matters.

Responsibilities:

Answer and direct incoming phone calls professionally and compassionately

Assist families and visitors arriving at the funeral home

Schedule appointments and coordinate calendars

Handle data entry and preparation of death certificate information

Coordinate with churches, clergy, cemeteries, newspapers, florists, and vendors

Order Life Celebration products, memorial items, and merchandise

Prepare and organize documents and files

Scan, record, and maintain accurate records

Assist with obituary preparation and administrative support

Maintain a clean, organized, and professional workspace

Follow detailed checklists and procedures carefully

Support funeral directors and staff with daily operations

Qualifications

Prior office and customer service experience required

Strong computer and typing skills are essential

Advanced comfort with learning and using technology/web applications

Excellent communication and phone skills

Highly organized with strong attention to detail

Ability to multitask and work efficiently in a fast-paced environment

Positive attitude and strong work ethic

Professional appearance and demeanor required

Ability to work around death, grief, and emotionally sensitive situations with compassion and maturity

Dependable, punctual, and team-oriented

Preferred Skills & Software Experience

Experience with the following is strongly preferred:

Microsoft Word

Microsoft Excel

Microsoft Publisher

Microsoft PowerPoint

Adobe Acrobat

Google Workspace / Gmail

General Windows computer use

Scanning and digital file management

Funeral home experience is welcome but not required. We are willing to train the right person with the right attitude and professional mindset.
