Receptionist/Administrative Assistant

Calvin Landscape is seeking a professional, organized, and dependable Administrative Assistant to support daily office operations and assist multiple divisions within the company.

This role serves as the first point of contact for customers, vendors, applicants, and employees while providing administrative support related to office operations, payroll processing, communication coordination, and general office management.

The ideal candidate is detail-oriented, professional, and capable of multitasking in a fast-paced environment.

Key Responsibilities

Office Operations & Facility Support

  • Assist with daily office opening and closing procedures
  • Maintain a clean, organized, and professional office environment
  • Order, stock, and manage office and cleaning supplies
  • Maintain organization and functionality of the copy room
  • Help ensure office, shop, and facility areas remain operational and organized

Front Office & Customer Communication

  • Answer and direct incoming phone calls professionally and efficiently
  • Greet customers, vendors, visitors, and job applicants
  • Receive and distribute deliveries
  • Document customer inquiries and route information to the appropriate department
  • Provide general information about company services, including lawn care and landscaping
  • Assist customers with scheduling, billing questions, and general inquiries
  • Handle cold calls and solicitors professionally

Payroll & Administrative Support

  • Process division payroll
  • Provide administrative support to managers and office staff
  • Prepare reports, forms, and internal documentation
  • Assist with customer account follow-up and office correspondence

Qualifications

  • Previous receptionist, office administration, or customer service experience REQUIRED
  • Strong communication and organizational skills
  • Proficiency in Microsoft Office and general computer systems
  • Ability to multitask and prioritize responsibilities effectively
  • Professional demeanor and positive attitude
  • Strong attention to detail and ability to maintain confidentiality
  • Ability to work independently and collaboratively within a team
  • Bilingual English/Spanish skills are a plus, but not required

Pay: $20.00 - $22.00 per hour
