Receptionist/Administrative Assistant

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Responsibilities

  • Greet visitors, clients, and vendors warmly, providing exceptional customer service and assistance
  • Manage multi-line phone systems efficiently, directing calls accurately and professionally
  • Handle incoming correspondence, including emails, mail, and deliveries, ensuring timely distribution
  • Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy
  • Support office management tasks such as calendar management, appointment scheduling, and event coordination
  • Utilize software tools like Microsoft Office, , and other computer applications to perform administrative duties
  • Assist with bookkeeping tasks including invoicing and basic financial record keeping
  • Perform clerical duties such as photocopying, faxing, scanning documents, and maintaining office supplies

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Excellent computer literacy
  • Familiarity with QuickBooks or similar bookkeeping software is a plus
  • Bilingual abilities are highly desirable to support diverse client needs
  • Strong phone etiquette and customer support skills to handle inquiries professionally
  • Ability to manage time effectively in a fast-paced environment with multitasking capabilities
  • Experience in real estate roles is advantageous but not required
  • Personal assistant experience or calendar management skills enhance your fit for this role
