Receptionist/Administrative Assistant

.1 Customer Service

  • Greet customers (in person and on the phone) warmly and professionally.
  • Assist with customer inquiries regarding services, pricing, and repair statuses.
  • Handle customer complaints or concerns and direct them to appropriate management if needed.

2. Scheduling and Appointment Management

  • Schedule repair appointments for trucks and trailers.
  • Manage the service calendar to optimize workflow.
  • Coordinate with technicians to ensure proper scheduling for vehicle repairs and maintenance.

3. Processing Service Orders

  • Open, update, and close repair orders in the shop’s system.
  • Input customer and vehicle information into the database.
  • Ensure all service details are accurately recorded, including repairs, parts, and time estimates.

4. Communicating with Technicians

  • Relay important information between the service team (technicians/mechanics) and customers.
  • Coordinate parts orders with parts suppliers and technicians as needed for repairs.

5. Handling Invoices and Payments

  • Prepare invoices for customers once repairs are completed.
  • Collect payments (cash, credit, or insurance) and maintain records.
  • Ensure proper documentation for warranty claims and insurance billing.

6. Maintaining Records

  • File and organize service records and customer files.
  • Track repair histories for vehicles serviced at the shop.
  • Maintain inventory records for parts used in repairs.

7. Data Entry and Office Support

  • Enter data into the computer system accurately and efficiently.
  • Assist in other administrative tasks, such as ordering office supplies or processing mail.
  • Support the manager and staff with any additional administrative needs.

8. Safety and Cleanliness

  • Ensure the front desk and customer-facing areas are clean and organized.
  • Assist in maintaining a safe work environment by following shop safety guidelines.

9. Communication with Insurance Companies

  • Assist customers with insurance-related questions or claims.
  • Provide necessary documentation for claims or repairs covered by insurance.

10. Basic Technical Knowledge

  • While not a technical role, familiarity with basic truck and trailer repair terminology is helpful to assist customers and communicate with the repair team effectively.

In addition to these tasks, the receptionist is expected to maintain a professional demeanor, multitask, and possibly work with other administrative staff to ensure smooth operations in the shop. Strong communication and organizational skills are essential, as well as a willingness to learn the specifics of the heavy-duty repair industry.

Job Type: Full-time

Pay: $15.50 - $19.04 per hour
