Job Summary:
ORCOM US is seeking a detail-oriented and professional Receptionist / Corporate Administrator to join our team. This hybrid role combines front-office responsibilities with corporate administration tasks, ensuring smooth daily operations and accurate management of corporate filings and records.
Key Responsibilities:
Reception / Front Office Duties:
- Welcome and assist clients and visitors in a professional and courteous manner
- Answer and route incoming calls appropriately
- Sort, distribute, and scan incoming mail
- Manage building access and visitor authorization
- Deposit checks at the bank as needed
- Handle outgoing mail and packages (USPS, FedEx, etc.)
- Archive and organize mail and office documents
- Manage office supply inventory and coordinate orders to ensure smooth day-to-day operations
Corporate Administration Duties (Training provided):
- Prepare and file organizational documents, including Articles of Incorporation, Amendments, Dissolutions, and stock/membership certificates for businesses across various U.S. states
- Create and manage business tax accounts and process business tax payments (annual reports, biennial statements, statements of information)
- Coordinate with registered agents and approve filing payments, particularly for Delaware filings
- Assist with IRS paperwork and correspondence, including requesting EINs and updating business information
- File, retrieve, and maintain corporate records, legal documents, and reports
Qualifications:
- Prior experience in office administration, corporate services, or related field preferred
- Minimum 3-year experience as an administrative assistant.
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Proficient with Microsoft Office Suite (Word, Excel, Outlook)
- Ability to multitask and manage time effectively in a fast-paced environment
