Receptionist/Dispatch/Customer Service

Overview
We are seeking a dynamic and organized Receptionist/Dispatch/Customer Service professional to join our team! In this multifaceted role, you will serve as the first point of contact for visitors and callers, manage incoming communications via multi-line phone systems, and coordinate dispatch activities to ensure smooth operations. Your excellent organizational skills, friendly demeanor, and ability to handle administrative tasks efficiently will contribute to a positive experience for clients, vendors, and team members alike. Duties

  • Greet visitors warmly and professionally at the front desk, ensuring a welcoming atmosphere
  • Answer and direct calls using multi-line phone systems with proper phone etiquette
  • Manage appointment scheduling and calendar coordination for staff or departments
  • Dispatch service requests or deliveries accurately and promptly using established procedures
  • Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy
  • Utilize computer skills with Microsoft Office, Google Workspace, and QuickBooks for administrative tasks
  • Support office management activities including inventory tracking, record keeping, and clerical support
  • Provide exceptional customer service by addressing inquiries promptly and courteously
  • Assist with bookkeeping tasks such as invoicing or billing when needed
  • Handle incoming mail, emails, and correspondence efficiently while maintaining confidentiality

Requirements

  • Proven office experience with strong clerical skills and familiarity with front desk operations
  • Excellent organizational skills with the ability to multitask effectively in a busy environment
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools
  • Experience with multi-line phone systems and phone etiquette is essential
  • Bilingual abilities are highly valued to serve diverse client needs
  • Knowledge of QuickBooks or bookkeeping experience is a plus
  • Strong typing skills along with attention to detail for proofreading and document accuracy
  • Prior customer service experience demonstrating professionalism and positive communication skills
  • Ability to manage time efficiently while handling multiple responsibilities simultaneously
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
