Receptionist/Legal Assistant

We are seeking an enthusiastic professional to join our team in a combination Legal Assistant/Receptionist role in our Indianapolis office. Key Responsibilities:
  • Answer incoming telephone calls in a professional and courteous manner. Timely route calls to
    appropriate party, or take accurate telephone messages, as per Firm policy.
  • Greet visitors upon arrival and announce them to respective attorneys, legal assistants, and
    other support staff.
  • Maintain visitor's log, accept/sort mail and packages.
  • Maintain conference room calendar, provide backup support in setting up video-conferences, order
    lunches as needed for meetings.
  • Maintain a neat and orderly workspace.
  • Transcribe, type, proofread and finalize documents, correspondence, memos, minutes, charts,
    forms, billings, existing documents dictation as directed, often under short deadlines.
  • Maintain files of documents, memos, reports, addresses and matter numbers and send to offsite
    storage when no longer needed.
  • Mail, fax or assign for delivery documents, memos, reports and other materials sometimes with
    urgent time frames.
  • Opportunities to learn e-Filing in state, federal and appellate courts.
  • Maintain confidential information, files, records, legal documents, and reports.
  • Other duties as assigned.


Qualifications:

"Who Are You?"
  • Minimum 2-5 years of professional office experience preferred.
  • High School degree required, Associate degree preferred.
  • Punctuality is critical for this position.
  • Possess a positive attitude, be proactive, flexible and a team player.
  • Prefer experience with technical skills including working knowledge of MS Office and Adobe
  • Professional, Aderant Expert and PACER/CM/ECF.
  • Must be detailed oriented, with excellent grammar and spelling skills.
  • Possess strong organizational, communication and client services abilities.
  • Ability to prioritize needs based on urgency, multi-task and work in a fast-paced team-oriented environment.
  • Ability to work overtime, when needed.
