Reconstruction Materials Coordinator

Job Summary
The Reconstruction (Construction) Materials Coordinator supports reconstruction operations by owning the materials lifecycle—from estimating review and customer selections through purchasing, inventory control, and job-site delivery. This role works closely with the Project Manager and Director, vendors, field crews, subcontractors, and customers to ensure the right materials are approved, ordered, staged, and available when needed so projects stay on schedule and on budget.
Responsibilities
  • Procurement & Purchasing
  • Source, order, and manage materials needed for active and upcoming reconstruction/restoration projects.
  • Solicit, maintain, and strengthen vendor/supplier relationships; negotiate pricing and lead times when appropriate.
  • Track purchase orders, confirm delivery dates, and coordinate staging based on project schedules.
  • Monitor material costs and report potential cost overruns/variances to the Project Manager (and Director as needed) before purchases are made so change orders can be addressed as needed.
  • Inventory & Warehouse Management
  • Maintain accurate inventory records across the warehouse and job sites; conduct cycle counts and audits to prevent shortages or overstock.
  • Maintain organized storage and staging areas; label, secure, and protect materials to reduce damage and loss.
  • Distribution & Delivery
  • Coordinate pick-ups and deliveries; assist with loading/unloading materials and equipment as needed.
  • Deliver materials to job sites and verify accuracy/completeness with field teams and subcontractors.
  • Manage returns, exchanges, warranty claims, and excess materials according to company procedures.
  • Project & Process Support
  • Work closely with the Project Manager on job-related items and coordinate with the Director/department leadership as needed.
  • Evaluate job details prior to site visits, including photos, scope, and components needed for the project.
  • Create and maintain material logs and spreadsheets for ordering, status tracking, and job costing support.
  • Maintain organized documentation (purchase records, delivery confirmations, vendor contacts) and provide materials reporting to support estimating and cost analysis.
Qualifications
  • Required
  • 2+ years of experience in materials coordination, inventory management, purchasing, logistics, warehouse operations, or a related field.
  • General understanding of residential and commercial reconstruction/remodel construction methods and materials.
  • Strong computer skills, including Microsoft Outlook and Excel (and comfort learning new systems; QuickBooks experience a plus).
  • Excellent verbal, written, and customer communication skills.
  • Ability to prioritize and work in a fast-paced environment while managing multiple projects and deadlines.
  • Valid driver’s license with an acceptable driving record; ability to pick up and deliver materials to job sites.
  • Preferred
  • Experience working in a restoration, remediation, or general contracting environment.
  • Experience supporting construction/restoration projects (e.g., working with Project Managers, field teams, and subcontractors).
  • Experience managing vendor relationships, negotiating pricing, and tracking purchase orders.
  • Familiarity with OSHA guidelines and safe handling/storage of construction materials; experience using basic hand and power tools.
