We’re looking for a Recording Specialist to join our team. In this role, you'll play a key part in managing the recording of legal documents, handling post-closing audits, and ensuring all title files and policies are prepared accurately and efficiently. You’ll work closely with internal teams, customers, and external partners to ensure timely document submission and resolution of any issues, all while maintaining a high level of compliance with regulatory requirements

Responsibilities

  • Maintain up-to-date knowledge of state and county recording regulations, fees, and requirements.
  • Accurately calculate recording fees and issue checks for payment.
  • Review and proofread documents to ensure accuracy and compliance, then submit them for recording within deadlines set by the supervisor.
  • Coordinate with examiners, courthouses, and e-recording providers to confirm documents are successfully recorded.
  • Resolve issues with rejected documents and ensure they are processed correctly.
  • Maintain accurate logs of recorded documents and e-recording information for tracking purposes.
  • Assist with the auditing process by verifying recording logs and examiner check logs.
  • Perform audits on completed settlement files to ensure accuracy, completeness, and regulatory compliance.
  • Ensure title files are prepared for policy issuance by confirming all necessary documentation is in the file or attached to the order management system.
  • Manage files that have been rejected for final policy, ensuring corrections are made promptly.
  • Process all policy and recorded document requests from customers in a timely and professional manner.
  • Assist with lien clearance tasks when needed.
  • Adhere to company policies and procedures, complete mandatory compliance training on time, and ensure regulatory requirements are met.
  • Consistently attend work during scheduled hours and be available for overtime as needed.
  • Maintain reliable attendance, including potential in-office requirements or participation in company and industry events outside regular business hours.
  • Accept direction and constructive feedback from supervisors to continuously improve performance.
  • Interact professionally and effectively with team members, management, and customers via email, phone, video conferences, and in-person meetings.
  • Demonstrate courtesy, flexibility, and responsiveness to the needs and expectations of supervisors, co-workers, and customers.
  • Perform other related duties as assigned.

Requirements:

  • Strong skills in Microsoft Office Suite, including Outlook.
  • Ability to thrive in a fast-paced environment while meeting tight deadlines and maintaining accuracy.
  • Strong organizational skills with the ability to prioritize tasks, handle multiple projects simultaneously, and ensure precise documentation.
  • Capability to act independently, make sound decisions, and take initiative when necessary.
  • Demonstrated ability to communicate effectively, both verbally and in writing, with appropriate business language.
  • Excellent professional written, verbal, listening and communication skills.

  • Full time: M-F 830am-530pm
  • Pay: $20.00
