The Recruiting Coordinator supports the companys recruiting and hiring efforts by assisting with the scouring, screening, and coordination of candidates for open non-exempt positions. This position works closely with hiring managers and the onboarding team to ensure candidates move efficiently through the recruiting and hiring process.
Primary Responsibilities and Key Deliverables:
Source candidates through job boards, social media platforms, and other recruiting channels.
Maintain active candidate pipelines for janitorial, porter, custodian, landscaping and similar roles.
Monitor job postings and ensure open positions are advertised appropriately across recruiting platforms.
Conduct proactive outreach to potential candidates when needed to support staffing needs.
Conduct initial candidate screening to evaluate basic qualifications, availability, and job fit.
Schedule and coordinate interviews between candidates and hiring managers.
Communicate interview details, job expectations, and next steps to candidates.
Maintain consistent communication with applicants throughout the recruiting process.
Assist with posting job openings in Paylocity Recruiting, Team Engine, and other internal recruiting systems.
Track candidate activity and update recruiting records accurately within recruiting platforms.
Ensure candidate documentation and recruiting records are complete and properly maintained.
Support job requisition management and ensure recruiting workflows are followed.
Coordinate with the onboarding team to transition selected candidates into the hiring process.
Ensure candidates complete required employment documentation and onboarding tasks.
Communicate start dates, orientation information, and onboarding instructions to new hires.
Help ensure new hires are properly scheduled for orientation or initial assignment.
Ensure compliance with federal/state/local employment laws, EEO, Title VII, ADA, ADEA, GINA, FCRA, IRCA.
Will perform other duties as assigned.
Qualifications:
Education: Bachelors degree in human resources, business or related field preferred or work experience in lieu of degree.
Experience: 2-3 years of talent acquisition experience, preferably in multi-site operations-related roles, supporting high-volume hiring.
Experience recruiting non-exempt positions preferred.
Experience using professional social networks (LinkedIn.com, Indeed.com, and other third-party recruiting solutions).
High attention to detail, ambition, and a strong work ethic with a high sense of urgency.
Familiarity with Applicant Tracking Systems and/or resume databases.
Skills: Bilingual (English/Spanish) communication skills preferred.
Strong interpersonal and influencing skills with the ability to build trust and credibility with internal stakeholders.
Excellent organizational and time management skills.
Working Conditions:
Primarily office based with occasional travel to branch offices, job fairs, and recruiting events may be required.
