Duties

• Coordinate patient referrals between healthcare providers, specialists, and facilities to ensure timely appointments and follow-ups
• Verify insurance coverage and benefits through managed care systems to facilitate smooth referral approvals
• Manage medical records, including retrieval, organization, and secure handling in compliance with HIPAA regulations
• Utilize CPT (Current Procedural Terminology), ICD (International Classification of Diseases), and ICD coding to accurately document diagnoses and procedures
• Communicate effectively with patients, providers, and insurance companies to resolve referral issues or discrepancies
• Maintain detailed logs of referral activities, appointment schedules, and correspondence for audit readiness
• Ensure all documentation adheres to medical terminology standards and office protocols for accuracy and confidentiality

Requirements

• Proven experience in a medical office setting or healthcare environment with familiarity in medical records management
• Strong knowledge of managed care processes, insurance verification, and healthcare billing procedures
• Familiarity with HIPAA regulations to safeguard patient privacy at all times
• Proficiency in CPT coding, ICD-9/ICD-10 coding systems, and medical terminology for precise documentation
• Experience with medical coding practices related to referrals and diagnoses
• Excellent organizational skills with attention to detail in managing multiple tasks simultaneously
• Prior dental or medical office experience is a plus but not mandatory; a proactive attitude is essential
