The Opportunity:
In this position, you will play a crucial role in planning, organizing, coordinating, and developing region-wide administrative goals, objectives, and procedures. This includes establishing quality controls to ensure that high-profile and high-risk assignments, such as those from executive staff, are assigned to appropriate regional staff to be completed within established timeframes.
Some of what you'll do:

Serve as the Regional Administrator’s principal assistant with delegated authority to accomplish their administrative responsibilities and assignments.

Plan, organize, coordinate, and develop region-wide administrative goals, objectives, and procedures.

Compile and analyze data and review Area Administrators' and staff work for completeness, making or directing changes when necessary.

Ensure complaints and concerns raised by clients and community members are properly addressed, and incident reporting procedures are followed.

Manage and maintain executive documents on shared drives and appropriate filing systems.

Organize materials submitted to the Regional Administrator; sort, read, and annotate incoming mail and documents, and determine action when necessary.

Participate in strategic and tactical meetings with the Regional Administrator, Deputy Regional Administrator, and Area Administrators.

Coordinate and manage the Regional Administrator's calendar.

Represent the Region on agency-wide projects and activities related to administrative initiatives and issues.

Coordinate the region’s staffing and union-management activities.

Process approvals of FTE allotments and ensure the completion of appropriate documentation.

Work closely with Human Resources to assist the Regional Administrator.
What we're looking for (Required Qualifications):
Equivalent education and experience totaling seven (7) years of office/clerical, secretarial, bookkeeping, accounting, supervisory, or general administrative work.
OR
A Bachelor’s degree in Business Administration, public administration, or a closely allied field AND three (3) years of administrative or supervisory experience.
OR
Two years as an Administrative Assistant 3 (AA3).
OR
One year as an Administrative Assistant 4 (AA4).
Additional qualifying experience may substitute for education on a year-for-year basis.
Graduate study may substitute for up to two years of experience on a year-for-year basis.
AND-
Proficiency in Microsoft Outlook, Teams, Word, Excel, Publisher, PowerPoint, and Adobe Acrobat, and database applications such as Access and FamLink.

Ability to interpret in-depth travel guidelines, including DCYF Accounting policies, SAAM policies, and OFM regulations.

Ability to work independently to establish priorities and organize work to enable completion of assigned tasks.

Ability to exercise good judgment, problem-solving ability, and multitasking to complete all assignments in a timely and accurate manner.

Ability to maintain confidentiality of client and personnel information.

Ability to analyze sensitive issues and provide advice and consultation on these issues.

Ability to troubleshoot and resolve computer hardware, software, and other electronic equipment issues.

Ability to create presentations, complex charts and graphs, and electronic forms.

Ability to write and prepare clear and effective reports and other documents.
