As Technical Services Coordinator you will collaborate with colleagues to inspire customer moments of delight and pursue amazing outcomes each day. Be an ambassador of a one team approach within the technical operations team, representing company and client.
Responsible for the day-to-day supervision of the Technical Services element of the facility management contract including the engineering teams and contractors, proactively leading the maintenance provision across multiple sites.
Key Responsibilities:
- Responsible for ensuring the asset management database is kept up to date in regards to asset and maintenance information.
- Scheduling of the maintenance activities in collaboration with the Engineering Teams.
- Making sure all Planned and Reactive tasks are made available to technicians within SLAs.
- Closing out of completed maintenance jobs and ensuring all necessary information is entered onto the system in a timely manner.
- Monitor progress of all Planned and Reactive tasks completing any backlog.
- Monitoring the status of the Reactive order works, identifying and addressing any areas of delay.
- Ensure that the correct charge coding is assigned to the reactive works so all rechargeable works are fully captured.
- Production of reports required from the asset management database to ensure the planned preventative maintenance is being undertaken in accordance to the requirements of the contract.
- Keeping PPM related records (both soft and hard copy) in a safe manner and in a system where they can be easily accessed and retrieved as required.
- Ensure any newly installed assets are identified and entered onto the PPM system and the appropriate maintenance schedule set up.
- Ensure that consumable materials required to undertake PPM activities are ordered and received in a timely manner.

- Review method statements, MSDS's and ensure relevant permits to work are issued prior to work commencing through the online permitting system.
- Accountable for the legislative compliance in relation to Health and Safety for all building operations activities and ensure compliance with company/client policies and procedures.
- Safety is achieved through complying with process you will ensure that Method Statements and Risk Assessments are reviewed and all actions identified are carried out to ensure safe working practices.
Operations
Lead or contribute to team huddles and meetings where applicable. Ensure all specific facilities issues are logged and ensure remedial actions are completed proactively.
- Ensure ad hoc support requests are recorded within company systems.
- Continually assess all plant and equipment meets existing and upcoming legislation and that all equipment is maintained in accordance with agreed specifications.
People
Drive a culture of high motivation, recognition and engagement, ensuring all reports have development plans whilst actively encouraging training.
- Understand team development and strength areas and ensure opportunities for growth and succession planning, you coach team members using CBRE core training matrix as a guide.
- Provide management guidance and lead the team including overseeing the allocation of work, attendance and performance management to exceed the customers expectations and ensure best practice prevails.
Supplier Management
Complete regular reviews with contractors to measure performance and ensure best value is being achieved, through benchmarking if required.
- You are the escalation point for the management of severe supplier non conformance.
- Work collaboratively with suppliers to produce improvement and actions plans when required.
Finance
Record all costs incurred as part of the provision of Services and ensure they are tracked and reported for charging and auditing purposes.
- Adhere to the change control process to capture alterations and additions to existing plant and equipment.
- Assist the Technical Services Manager with the preparation of monthly operation and financial reports.
Project and Programs
Recognize the benefits of a strong working relationship with CBRE Projects teams and you actively develop this at every opportunity, you are accountable for sign off of technical services in refurbishments, renovations, fit-outs and new buildings.
- Organize your team to ensure delivery of ad-hoc projects to enhance the office environment or in reaction to Client requests.
- Manage on site minor works projects your teams are directly involved in.
Candidate Requirements:
- Relevant qualification in Mechanical and Electrical field
- H&S qualification - IOSH, NEBOSH
- Language - fluency in written and spoken English
- Excellent analytical and problem-solving skills
- An eye for detail and good design
- Strong communication skills
- Excellent time management skills
- The ability to work well both as part of a team and on your own
- Strong technical drawing skills
- Broad technical knowledge and understanding of FM and building systems
- Must be able to demonstrate a sound knowledge of all systems within the building services environment
- 05+ years experience in a similar building environment
- Dependable and flexible, able to work independently as well as part of a team.
- Responsive to customer requests in an empathic, supportive and productive manner
- Experience of working within a maintenance Team
