Milton Community Schools (MCS) is looking for an energetic, detail-oriented, organized, reliable, and experienced Registrar/Administrative Assistant to support our Community Schools office. This role supports all MCS programs. This role ensures smooth day-to-day functioning by handling student registration, attendance tracking, invoicing, and payment processing while maintaining clear communication with families, school staff, and program leadership.
This is a part-time, year-round position, Monday through Friday, 2 p.m. - 6 p.m.
Primary Responsibilities:
- Process new student registrations and maintain accurate enrollment records
- Collect and organize required registration documentation
- Update student information in database systems as needed
- Manage enrollment changes, withdrawals, and re-enrollments
- Ensure all student records are complete and current
- Compile and distribute monthly attendance reports to school staff
- Ensure accuracy and timeliness of all attendance documentation
- Prepare and issue tuition invoices to families as needed
- Track and reconcile all payments received while following up on overdue or outstanding balances.
- Maintain organized payment records and transaction documentation while accurately processing and recording all payment information.
- Maintain organized and accurate records of payments and transactions, ensuring all payment information is processed and documented correctly.
- Issue fee notifications to families and maintain accurate records of all fee-related communications.
- Send program-related emails to families regarding: registration updates, attendance information, invoice and payment details, and fee notifications.
- Serve as primary contact for administrative inquiries and maintain professional and timely communication standards
- Provide administrative support to supervisors and the administrative team
- Answer and direct phone calls.
- Maintain confidential and organized student and personnel files
- Ensure compliance with data privacy and record retention policies
- Prepare reports and documentation as requested by program leadership
Education:
- High school diploma or equivalent required
- Associate’s degree in Business Administration, Office Administration, or related field preferred
Skills/Qualifications:
- 2+ years of administrative, clerical, or registrar-related experience preferred
- Experience with student registration, billing, or financial record-keeping strongly preferred
- Experience working in a school, community program, or customer-facing environment a plus
- Proficiency with Microsoft Office Suite and G Suite
- Able to quickly learn new software programs
- Solves problems effectively through initiative, resourcefulness, creativity, and self-motivation
- Anticipates needs and accomplishes responsibilities with little or no direction
- Willingness to be flexible and adaptable in activities and responsibilities
- Citizenship, residency, or work visa required
- All prospective staff will be required to undergo background checks and fingerprinting
SALARY: $32.64/hour
Pay: $32.64 per hour
