Registry Operations Manager, ODS-C

This position will manage all aspects of the assigned projects in conjunction with leadership to ensure project goals and objectives are met.

Qualifications:

Certified Oncology Data Specialist (ODS-C), required.

At least three years of registry abstracting experience and use of all cancer registry industry related reference manuals, required.

At least one year of registry management or other health-related management experience in a team-oriented workplace, required.

Proficient skill level in computer software, industry-related cancer registry software systems and EMR applications, required.

Maintain strong organization skills including prioritizing tasks, time management and detail orientation, required.

At least one year of experience in Registry Operations functions of an ACoS facility including but not limited to CP3R, NCDB, RQRS and data request, preferred.

Associates or Bachelor’s degree in Health Information Management or related field, preferred.

Essential Duties:

Coordinates all abstracting and operations activities in accordance with state registry requirements for assigned projects with more than 500 cases per year.
Monitors project priorities, deadlines and productivity to ensure goals and expectations are being met.
Reviews billing, case log and productivity reports for assigned projects.
Ensures all project instruction documents and polices/procedures are followed as outlined on the Registry Partners (RP) server.
Completes all tasks/responsibilities outlined in the “New Project Implementation and Set-Up Guide” located on the RP server. This may be independently or for projects with a large upfront workload may work in conjunction with others.
Ensures the registry operations functions of an ACoS accredited facility are in compliance.
Streamlines processes to provide efficient services.
Forecasts abstractor work hours to meet the needs of each project.
Provides clear expectations, goals and deadlines to project team.
Manage performance and coordinates workflow for on-site staff for projects, when needed.
Works in collaboration with Quality Manager assigned to projects.
Follows project parameters and any other project related documents.
Conducts coaching calls and participates in other quality performance related incident calls.
Investigates and documents area of concerns/noncompliance issues as outlined in the Disciplinary Action Policy and Procedure.
Communicate any client or staff concerns to the Registry Operations Services Director.
Participates in internal and external educational activities, as requested.
Ensures understanding and compliance with all updates/changes in the collection and coding of cancer data.
Performs as an abstractor as outlined in appropriate job description, when needed.
Provides timely response, per RP policy, to employee and client questions/concerns as needed.
Attends and actively participates in conference calls, as requested.

Fulfills committed work hours to meet the requirements of clients, employees and the company during normal business hours and a cross standard business days (Monday through Friday, 8:00 am to 5:00 pm in your time zone) and during non-standard hours (evenings, nights, weekends and holidays) as needed. Use of the company phone when out of office to maintain availability and assist with the expected response time, within four business hours of call, email or request for assistance. Completes timesheets and case logs in real time/daily and finalizes with signature by Sunday at midnight. Conducts timesheet completion reviews for assigned staff.
