Oxnard Pallet Company, a family-owned industry leader specializing in high-quality wooden pallets and reliable delivery services for over 30 years, is seeking a highly dedicated and organized Relations Specialist to join our team.

This is a critical, multi-faceted role that serves as the administrative and support backbone of our organization. The ideal candidate is a proactive "People Person" who excels at high-level customer service, confidential employee support, and ensuring foundational business compliance (safety, HR, and logistics).

What You Will Do: The Core Responsibilities

This position offers a wide range of responsibilities, with a primary focus on the well-being of our team and the efficiency of our core operations.

Customer Service & Administrative Relations (External Focus)

  • Front Office Management: Professionally answer and manage office phones, serving as the first point of contact for clients and vendors.
  • Order Processing: Learn the product line to accurately process customer orders, perform data entry, and assist with related administrative filing.
  • Financial Support: Operate the cash register, handle payment processing, and provide necessary assistance to the Accounting team.
  • Compliance & Logistics: Track and maintain all necessary paperwork for trucking and equipment registration, licensing, and compliance.
  • Collaboration: Coordinate with production, delivery, and accounting teams to ensure smooth order processing and scheduling.

Human Resources & Payroll Relations (Internal Focus)

  • Employee Lifecycle Management: Facilitate all stages of the employee lifecycle, including new hire onboarding, organizing and maintaining confidential employee files, assisting with interviews, and processing termination paperwork.
  • Payroll Processing: Accurately process weekly payroll and assist in approving employee hours.
  • Attendance Tracking: Accurately record employee attendance points and log all call-in messages.
  • Confidential Documentation: Maintain all necessary confidential HR documentation (memos to file, etc.) with absolute integrity.

Safety & OSHA Compliance Relations (Risk Management Focus)

  • Safety Program Facilitation: Help distribute required PPE (Personal Protective Equipment) and safety supplies to employees.
  • Documentation Management: Maintain all critical safety documentation, including mandatory OSHA logs, injury reports, and the Heat Illness Prevention Plan.
  • Safety Meetings: Schedule and facilitate mandatory safety meetings and diligently track employee attendance records.
  • Injury Management: Assist with the initial paperwork and administrative documentation for any workplace injuries.
  • Regulatory Learning: Constantly learn and apply new state and federal safety regulations and best practices.

Qualifications & Skills Required

  • Experience: 1–3 years of relevant work experience in an administrative role with proven exposure to HR, payroll, safety, or logistics support.
  • Education: High school diploma or equivalent required; some college coursework or an Associate’s Degree is a plus.
  • HR Knowledge: Direct Human Resource knowledge is required; hands-on payroll processing experience is strongly preferred.
  • Technical Proficiency: Proficient in Microsoft Office Products (Word, Excel, PowerPoint) and general computer systems.
  • Organizational Skills: Exceptionally strong organizational skills and a demonstrated ability to meet deadlines in a fast-paced environment.
  • Communication: Excellent written and verbal communication skills.
  • Work Ethic: A proactive, self-motivated team player able to work independently with minimum supervision.
  • Language: Bilingual proficiency in English and Spanish is strongly preferred due to the nature of our workforce.

Pay: $18.00 - $19.00 per hour
