Remote Paralegal Manager (Pro Se & Filing Coordinators)

Annual Salary: $70,000 (firm)

Position Summary

The Pro Se and Filing Coordinator Manager is responsible for overseeing the daily operations, productivity, accuracy, and compliance of the Pro Se and Filing Department. This role ensures all answer and filing workflows are executed efficiently, deadlines are met, quality standards are upheld, and team members are developed and supported. The Pro Se and Filing Coordinator Manager directly supervises Pro Se and Filing Supervisors and indirectly oversees Paralegals and Filing Coordinators. They enforce policies, monitor performance metrics, manage escalations, and collaborate cross-functionally to optimize processes and improve operational outcomes. Essential Responsibilities and Objectives

  • Oversee day-to-day operations of the Pro Se and Filing Department
  • Ensure timely and accurate submission of filings in accordance with court and partner requirements
  • Monitor productivity, quality metrics, and workflow performance
  • Review escalated issues and implement corrective action plans
  • Meet regularly with Supervisors to review performance and operational priorities
  • Ensure adherence to company policies, procedures, and compliance standards
  • Identify skill gaps and coordinate training or coaching plans
  • Communicate process updates, procedural changes, and best practices
  • Oversee employee performance reviews, coaching plans, and disciplinary actions when necessary
  • Coordinate with HR and leadership regarding employee relations matters
  • Partner with other departments to streamline workflow and reduce bottlenecks
  • Assist with recruiting, hiring, onboarding, and training Filing staff
  • Monitor attendance, scheduling, and staffing coverage needs
  • Analyze trends and recommend operational or system improvements
  • Participate in departmental and company-wide projects
  • Maintain strong relationships with internal stakeholders and external partners
  • Perform other duties as assigned

Job Requirements


  • Language Ability:

o Ability to communicate both verbally and in written format at a high level

o Effectively present information in one-on-one and group situations to customers, clients, Partner Companies, and other employees of the organization.

  • Math Ability

o Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

o Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

  • Reasoning Ability

o Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

o Ability to deal with problems involving several concrete variables in standardized situations.

  • Computer Skills

o Proficiency in Microsoft Word, Excel, Microsoft Windows, and Outlook

o Experience working in case management systems or workflow platforms (Dynamics, Monday, etc.)

o Ability to learn new systems quickly

Education and Experience

  • REQUIRED:

o Paralegal certification or similar legal services degree

o Experience managing a legal team

o Experience in high-volume processing or compliance-driven environments

o Minimum of 5 Years of experience in a high-volume legal environment

o Minimum of 2 Years of experience in a leadership role

  • PREFERRED:

o Bachelor’s degree in Legal Studies, Business, Communication, Operations, Leadership or other similar field

o Leadership experience in supervising other leaders

o Leadership experience in a Law Firm or Legal Service Provider


Supervisory
Responsibilities

Directly supervises Supervisors while maintaining oversight of Coordinators. Responsible for coaching, performance management, disciplinary actions, and professional development planning.

Work time is conducted in an office environment or at home while necessary for public health and safety. While in the office environment work time is spent in a controlled atmosphere building. While at home, every effort is made by the company to provide the tools and resources to complete the responsibilities of the roll. Also, while at home, the Manager should make every attempt to create a controlled environment conducive to fulfilling the outlined roles and responsibilities.


The noise level in the work environment is usually moderate.
