Job Summary

This position will lead the status tracking of data requests, facilitate communication about data requests between stakeholders, and manage the standardized documentation of queries for data requests and reports (e.g., internal, external, annual) in the Standard Operating Procedures (SOP) manual. This position will also develop and interpret information from the data available to the college to fulfill or contribute to the fulfillment of data requests which support the creation and assessment of progress towards measurable standards of institutional excellence. This information will provide the basis for informed decision making, and policy formation at all levels throughout the college. The development and interpretation of this information may involve gathering data from a wide range of sources both internal and external, including literature, databases, and the student information system of the college.

Applicants may be asked to demonstrate any or all of the following duties:


  • Leads the data request process by managing and tracking both ad hoc and scheduled recurring data requests. Collaborates with individuals across the institution to clarify request objectives, extract and cross-check data, and ensure that the data and analysis provided meet the needs of the requestor in a timely and accurate manner.
  • Leads the collaboration to standardize and document (i.e., Standard Operating Procedures Manual) data history, SQL queries, extraction procedures, data manipulation, and reporting procedures for all reporting requirements and department functions.
  • Contribute to the growth of a data-informed culture throughout the institution by serving on committees, facilitating trainings, and interacting with other departments to educate them on the available data, and the means by which needed data may be obtained.
  • Prepares a variety of recurring and ad hoc reports by gathering, assembling, and extracting relevant data to support both the day-to-day operations and strategic planning of the college. Ensures reports are produced on schedule, formatted appropriately per guidance from the Director, Institutional Research and Reporting, and made widely available to appropriate end-users.
  • Develops dashboards and/or database reports (Argos) to replace the generation of reports that occur at regular intervals. Provide training to appropriate administrative support to appropriate faculty and staff on the use of database reports and dashboards.
  • Leads the planning, management, and administration of national survey administrations (e.g., CSSEE, SENSE, Ruffalo Noel-Levitz, etc.); collaborates with internal staff to design, administer, provide analysis (i.e., descriptive, and inferential), interpretation, and reporting on internal survey results (e.g., graduating students, student satisfaction, etc.) with guidance from the Associate Vice President or Director, Institutional Research and Reporting.
  • Collaborates to identify data needed to effectively answer questions related to setting priorities, decision-making processes, and to the clarification of management objectives.
  • Collects and maintains pertinent information (e.g., SQL Scripts, directions/narrative, baseline data/evidence) needed to complete regularly scheduled internal (e.g., Board Reports; Presidential Goals, Factbook) and external (e.g., State, Federal, Accreditation Reporting); develops and maintains Argos Reports and Power BI Dashboards related to such ongoing data needs with guidance from the Director, Institutional Research and Reporting.
  • Co-supports program review by supplying related data and reports and warehousing the program review related data and reports generated by departments and divisions.
  • Extracts, manipulates, and processes data utilizing a variety of resources; performs basic and complex statistical computations and analyses, and aligns these analyses with the strategic objectives of the College.
  • Engages in training/workshops, maintains awareness and supports all data reporting concerned with state, federal, and regional/programmatic accreditation reporting requirements (e.g., Florida Education and Training Placement Information Program (FETPIP), IPEDS, SACSCOC, HLC, ACEN, etc.).
  • Develops, updates, and distributes a monthly reporting calendar which includes general due dates and departments responsible for the various state, federal, and accreditation reporting responsibilities of the college. Responsible for the implementation of the institutional reporting system for State and Federal requirements.
  • Coordinates and monitors institutional reporting processes with all departments at the college to ensure timely and accurate data submissions aligned with state, federal, and accreditation requirements. Collaborates with departments and utilizes reporting systems and calendars to support compliance and institutional effectiveness.
  • Compiles data and completes reports and studies to meet institutional and external requirements covering student, faculty, courses/programs, assessment, demographics, and other factors as requested; determines the type of analysis and report style needed. These reports do not duplicate state-required reports generated by the Institutional Research department.
  • Performs other duties as deemed necessary.

Job Qualifications

  • Education/Experience:
Bachelor's degree from an accredited university, and three or more years of related experience in data field; or equivalent combination of education and experience. Experience in higher education is preferred.

  • Supervisory Experience:

    This job has no supervisory responsibilities.

  • Language Ability:
Ability to read, analyze and interpret statistical reports, professional journals, technical procedures, or government regulations. Ability to author reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Excellent writing, editing, and verbal communication skills required.
SQL and/or State Reporting Experience Preferred

  • Math Ability:
Ability to work with mathematical concepts such as probability and statistical inference. Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs. Ability to apply concepts of basic algebra. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. The ability to interpret and create graphs.

  • Reasoning Ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Ability to work with graphs and formulas.

  • Computer Skills
Knowledge of reporting, query, database, spreadsheet, word processing, presentation, e-mail, Internet, and presentation software. The expertise in query languages such as SQL and report software such as ARGOS. Knowledge of BANNER is preferred. Expertise in producing statistical reports using query languages is required. Ability to use and extrapolate data from SCF database system.

This position has frequent contact with all levels of SCF staff, including high-level administrators. Serves on highly selective and highly skilled projects and task teams comprised of cross-functional division members.

This position has infrequent contact with outside vendors, community agencies, and counterparts at other colleges.
