Role Overview

We are hiring an Office Manager who will oversee day-to-day operations and reservations management, ensuring all departments work smoothly and efficiently. This role requires someone with strong leadership, coordination, and hospitality operational experience, ideally within holiday homes, hotels, serviced apartments, or short-term rentals.

You will manage scheduling, staff coordination, maintenance task allocation, guest experience performance, and ensure all operational workflows are executed at the highest standard.

Key ResponsibilitiesOperations & Team Management

  • Supervise daily operations for all properties and departments (reservations, housekeeping, property agents, maintenance).
  • Ensure smooth check-ins and check-outs, monitoring all guest arrivals and departures.
  • Act as the main point of coordination between teams and management.
  • Maintain daily operational dashboards and updates (issues, arrivals/departures, urgent tasks).

Scheduling & Resource Planning

  • Create and manage schedules for:
  • Property Agents (Check-in/check-out staff)
  • Housekeeping teams
  • Deep cleaning / inspections / special tasks
  • Ensure manpower allocation is optimized to meet occupancy needs and last-minute changes.

Maintenance & Issue Handling

  • Assign reported issues to handyman or external maintenance companies, based on priority and skill required.
  • Track issue progress from report → assignment → completion → confirmation.
  • Follow up on urgent repairs impacting guest experience.
  • Keep records of issues, costs, invoices, and landlord/guest responsibility where applicable.

Reservations Oversight

  • Support and supervise the reservations team to ensure:
  • Fast response times
  • Calendar accuracy and availability updates
  • Correct handling of modifications, cancellations, extensions
  • Ensure OTA policies and internal standards are applied consistently.

Guest Experience & Review Management

  • Monitor guest satisfaction and ensure high service standards are maintained.
  • Track and improve review scores across Airbnb, Booking.com, etc.
  • Review all guest feedback daily and ensure responses are professional, aligned with company tone, and posted on time.
  • Handle escalations (complaints, relocations, refunds, service recovery) and ensure resolution is documented.

Quality Control & Reporting

  • Implement and maintain SOPs for:
  • Check-ins/outs
  • Housekeeping standards
  • Maintenance handling
  • Guest communications
  • Prepare weekly reports for management:
  • Guest satisfaction performance
  • Operational issues and resolution time
  • Housekeeping performance
  • Maintenance cost and trends
  • Identify recurring issues and propose improvements.

Requirements

  • Minimum 3–5 years experience in operations management within:
  • Holiday homes / Short-term rentals (preferred)
  • Hotels / Serviced apartments / Property management
  • Strong knowledge of guest service workflows and OTA operations.
  • Proven experience managing schedules and operations teams.
  • Ability to handle urgent escalations calmly and professionally.
  • Strong organizational and leadership skills.
  • Excellent written and spoken English (Arabic or other languages a plus).
  • Strong computer skills (Excel / CRM tools / scheduling systems).
  • Dubai experience preferred.
