Job Summary

We are looking for a detail-oriented and proactive Reservations Administrator to manage end-to-end booking operations for chauffeur services, hotel reservations, and travel-related requests. The ideal candidate will ensure smooth coordination between clients, drivers, vendors, and internal teams while maintaining high service standards.

Key Responsibilities:

Reservations & Booking Management

  • Handle chauffeur service bookings, airport transfers, hotel reservations, and tour requests
  • Confirm bookings, modify schedules, and manage cancellations efficiently
  • Ensure accuracy of booking details (date, time, pickup/drop, guest details)

Client Coordination

  • Communicate professionally with clients via phone, WhatsApp, and email
  • Provide booking confirmations, driver details, and service updates
  • Handle customer queries and resolve issues promptly

Driver & Operations Coordination

  • Assign chauffeurs based on availability and service requirements
  • Share trip details and ensure timely driver reporting
  • Coordinate with drivers during live trips for smooth execution

System & Documentation

  • Update bookings in internal systems / CRM / spreadsheets
  • Maintain accurate records of reservations, invoices, and payments
  • Assist in preparing daily and monthly booking reports

Vendor & Partner Liaison

  • Coordinate with hotels, transport partners, and vendors
  • Ensure service quality and rate compliance

Required Skills & Qualifications

  • Bachelor’s degree (preferred but not mandatory)
  • 1–3 years experience in reservations, travel desk, hotel front office, or transport operations
  • Strong communication skills in English (Malayalam/Hindi is an advantage)
  • Excellent organizational and multitasking abilities
  • Proficiency in MS Excel, Google Sheets, and email communication
  • Ability to work under pressure and handle time-sensitive bookings

Preferred Skills

  • Experience in chauffeur services, travel & tourism, or hospitality industry
  • Familiarity with international bookings and airport operations
  • Basic understanding of invoicing and payment tracking

Work Timings

  • Shift-based (flexible hours may be required based on operations)

Pay: ₹144,000.00 - ₹240,000.00 per year
